Guidelines for Short Oral Presentation
Duration: Each presentation will be allocated for 15 minutes, including Q&A sessions. Speakers will be notified at:
- 10 minutes from the beginning of a presentation (5 minutes left)
- 12 minutes from the beginning of a presentation (3 minutes left)
- 14 minutes from the beginning (1 minute left) – STOP
Guidelines for Poster Presentation
Orientation and size: Posters will be displayed on two-sided boards in portrait (vertical) format and must not exceed 90 cm (W) × 120 cm (H). Fonts should be large enough to be read comfortably from a distance.
Logistics: Each poster session has a designated time slot, during which the presenter is expected to be present at their poster. Mounting materials (e.g. plastic tape rolls and blu tacks) will be provided by the organiser. Poster presenters are responsible for mounting their posters on the assigned board prior to their session and removing them afterward.
Guidelines for Symposium/Panel Discussion
Duration: Each symposium/panel discussion will be allocated for 90 minutes, including Q&A sessions.
Presentation Materials (if any): Please email your presentation file (.ppt/.pptx/.pdf) and any supporting materials by 14 May 2026 (Wednesday) to ciebpr@hksyu.edu, using the filename format “AbstractCode_First name_Last name”. Please ensure your file is compatible with standard software (e.g. Microsoft Office, Adobe Reader).
Backup Copy: Kindly bring a backup copy of your presentation on a USB drive in case of technical issues.
Logistics: On the day of the event, please arrive at least 15 minutes before your scheduled presentation time to allow for setup and any last-minute technical checks. Our team will be available to assist you with any necessary arrangements.
Audiovisual Requirements: If you have any specific audiovisual requirements, such as audio clips, video presentations, or special equipment, please inform us in advance, and we will do our best to accommodate your needs.
Role of Chair/Moderator:
- To confirm presentation order, timing, and any special needs of presenters before the session.
- To ensure that presentation materials and equipment function properly before the session, and to liaise with technical staff in the session of any issues.
- To welcome attendees, introduce symposium theme, structure and speakers.
- To manage timekeeping and ensure the total symposium/panel discussion duration remains within 90 minutes.
- To facilitate smooth transitions between presentations, such as briefly highlighting key points or thematic connections where appropriate (for symposium).
- To facilitate Q&A and discussion by encouraging diverse participation, maintaining a respectful tone, and guiding the conversation among presenters and attendees.
- To steer the discussion back to the symposium theme when questions are irrelevant or inappropriate.
- To conclude the discussion by synthesising key insights, expressing appreciation to presenters and attendees, and encouraging continued dialogue after the session.
